ToneScribe Privacy Policy

1. Who We Are
ToneScribe (“we”, “our”, or “us”) is developed and operated by Rahul Singh, an independent developer based in West Bengal, India. This Privacy Policy applies to the ToneScribe marketing website at tonescribe.com (the “Website”) and the ToneScribe apps for iPhone and Mac distributed through Apple’s App Store (together, the “Apps”). For the purposes of applicable privacy law, Rahul Singh is the data controller for personal data that we receive in connection with the Website and Apps. You can contact us at support@tonescribe.com.
2. Our Core Principle
The Apps are designed so your voice, imported media, transcripts, notes, snippets, dictionary entries, and related writing content are processed on your device. We do not operate transcription servers that receive, store, or process that content. Limited purchase information is handled by Apple and, on iPhone, RevenueCat; speech-model downloads contact the model host; and support information is sent only when you choose to contact us.
3. What Data We Process and Why
The following table summarises the data processing that occurs in connection with your use of the Website and Apps:

We do not ask for your name, email address, location, contacts, advertising identifier, or a ToneScribe account as part of normal App usage.
4. Microphone and Media Import Access
ToneScribe requests microphone permission to transcribe your speech. During recording, audio may be written to a temporary file on your device so the on-device speech recognition engine can process it. The file is deleted after transcription or cancellation. Voice audio is not uploaded or transmitted to us, Apple, RevenueCat, or any other external service for transcription.
If you choose to import an audio or video file from Files or Photos, ToneScribe accesses only the item you select. It may create a temporary local audio copy for transcription and deletes that copy when processing finishes or is cancelled. Your original file remains in its source location and is not uploaded by ToneScribe.
ToneScribe may download the speech-recognition model from infrastructure operated by FluidInference or its hosting provider, such as Hugging Face. The host may receive standard network information such as your IP address and request metadata under its own privacy policy. The request contains no voice audio, transcript, note, dictionary entry, snippet, or other personal content from ToneScribe.
5. Keyboard Extension and Full Access
ToneScribe for iPhone includes an optional keyboard extension. When you enable it, iOS may ask whether to grant “Full Access.” Full Access lets the keyboard and main app coordinate through a local App Group, open the main app for dictation, use your Dictionary and Snippets, and copy an inserted transcript to the system clipboard. It does not give ToneScribe permission to upload what you type.
Like other iPhone keyboards, ToneScribe may read the limited surrounding-text context that iOS exposes to support capitalization, cursor movement, deletion, and return-key behaviour. That context is used only in memory on your device. We do not create a keystroke log, store text from other apps in ToneScribe, or transmit keyboard context or clipboard content to us or any external server.
6. Mac Accessibility and Clipboard Access
ToneScribe for Mac requests Accessibility permission so it can detect the global shortcuts you configure and insert completed transcripts into the currently focused app. While enabled, macOS delivers keyboard and mouse events to ToneScribe locally. The App checks key codes and modifiers for your configured shortcuts; it does not retain a history of your input, reconstruct what you type, or transmit those events.
To insert text reliably, the Mac App briefly remembers the target app’s process identifier, places the transcript on the system clipboard, simulates Paste, and then restores the previous clipboard contents when it is safe to do so. The prior clipboard snapshot and target identifier are held only briefly in memory and are not saved or transmitted. Manual Copy and automatic-copy features place the selected ToneScribe text on your clipboard at your request.
7. Data Storage and Retention
Your transcripts, notes, snippets, dictionary entries, related metadata, local statistics, and settings are stored on your device. The Apps can automatically delete transcript history after the retention period you select, or keep it until you delete it. You can delete individual items, clear transcript history, or uninstall the App to remove its local data. Apple’s “Offload App” feature may preserve iPhone app data. We hold no server copy of your content. Eligible local user content may be included in device backups according to the backup settings you control. Downloadable speech-model files are excluded from backup because the App can download them again.
8. Purchases
Payments are processed by Apple through the App Store. On iPhone, we use RevenueCat to validate purchases, restore access, and manage the ToneScribe Pro entitlement. RevenueCat may receive purchase and receipt information, an automatically generated anonymous app user ID, device type, operating-system information, and purchase-service activity such as last-seen time. On Mac, purchase ownership is validated directly through Apple StoreKit rather than RevenueCat. We do not provide RevenueCat with your name, email address, voice, imported media, transcripts, notes, clipboard content, or advertising identifier. We do not receive or store your full payment-card details or Apple ID. Apple’s and RevenueCat’s respective privacy policies apply to their processing and retention.
9. Support Communications
If you use “Send Feedback,” ToneScribe opens your chosen mail app with a draft addressed to us. The draft includes the App version, device model, and operating-system version to help us investigate, and you can review or edit it before sending. If you send the email, we receive your email address, message, and those diagnostics. We use them only to respond to and investigate your request. We retain support correspondence while it is needed to resolve the request, maintain reasonable support records, or meet legal obligations, and delete it when it is no longer needed. You may request earlier deletion, subject to any legal retention requirement.
10. Analytics and Tracking
The Website uses PostHog for limited, anonymous analytics only after you consent. We record page views and page leaves, when the pricing section is viewed, the selected download platform and button placement, the identifier of an opened FAQ, and whether a support message was successfully submitted. We do not send URL query strings or fragments, support-message contents, email addresses, form values, or text you type. IP-based location enrichment, autocapture, session replay, heatmaps, console recording, performance capture, and automatic exception collection are disabled. Anonymous visitors do not receive person profiles.
Your analytics choice is stored in your browser’s local storage. You can reject analytics when first asked, withdraw consent, or change your choice at any time using “Analytics preferences” in the Website footer. Rejecting analytics does not affect access to the Website or Apps.
The Apple Apps do not contain behavioural analytics, advertising SDKs, cross-app tracking, or third-party crash-reporting services. On iPhone, RevenueCat processes limited purchase and technical information for App functionality, fraud prevention, and aggregate purchase analytics. It does not receive your voice, imported media, written content, keyboard context, or clipboard content from ToneScribe. Apple may separately process App Store, purchase, diagnostic, or usage information under your Apple settings and Apple’s privacy policy.
11. Data Sharing and Selling
We do not sell or rent personal data and do not use Website or App data for advertising. Information is disclosed only as needed to PostHog for consented Website analytics; to Apple and, on iPhone, RevenueCat for purchases; to the model-download host when retrieving model files; and to email providers when you choose to send us a support message. Service providers acting on our behalf are required to protect personal data consistently with their contractual duties, applicable law, and the protections described in this Policy. We may also disclose information where required by law or necessary to protect legal rights.
12. Data Security
Your content remains on your device and is protected by the security features of your Apple device, including device encryption and your passcode or biometric authentication where enabled. We encourage you to keep your operating system up to date. Purchase and support information is protected by the security practices of Apple, RevenueCat, and the relevant email providers.
13. Your Rights and Choices
Regardless of where you live, you can:
- Access your locally stored content directly within the Apps
- Delete individual content, clear transcript history, or remove local App data by deleting the relevant App
- Export your transcriptions by copying or sharing them from within the Apps
- Revoke Microphone, Keyboard Full Access, or Mac Accessibility permission in your device’s system settings
- Change or withdraw Website analytics consent using Analytics preferences in the Website footer
If you are in the EEA or UK (GDPR), you additionally have the right to:
- Rectification of inaccurate personal data
- Restriction of processing
- Data portability
- Object to processing based on legitimate interests
- Lodge a complaint with your local data protection authority (a list is available at edpb.europa.eu)
If you are in California (CCPA/CPRA), you have the right to:
- Know what personal data we collect (see Section 3 above)
- Delete personal data we hold about you (support emails — contact us and we will comply)
- Opt out of the sale or sharing of your data (we do not sell or share it)
- Non-discrimination for exercising your privacy rights
Most content-related rights are exercised directly on your device. For support emails or requests concerning purchase information processed through RevenueCat, contact us at support@tonescribe.com and we will respond within 30 days.
14. Children’s Privacy
ToneScribe is not directed at children under the age of 13 (or under 16 in the EEA). We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.
15. International Users
ToneScribe is available globally. Your voice and written content are not transferred internationally by us. Purchase information handled by Apple and RevenueCat, model-download requests handled by the download host, and support emails sent through email providers may be processed in other jurisdictions in accordance with their terms, privacy policies, and applicable law.
16. Changes to This Policy
We may update this Privacy Policy when the Apps, our providers, or applicable requirements change. We will post the updated version on this page with a revised “Last updated” date. For material changes, we will make reasonable efforts to provide an in-App notice or request consent where required by law. The updated Policy applies from its stated effective date.
