Privacy Policy

ToneScribe (“we”, “our”, or “us”) is developed and operated by Rahul Singh. This Privacy Policy explains how we collect, use, and protect your information when you use the ToneScribe iOS application and any associated backend services.

We collect the following types of information:

• Account information: When you sign in with Apple, we receive your name and email address (or the private relay address Apple provides). You may also sign in via email and a one-time passcode.
• Voice recordings and audio data: Audio you record in the app, including temporary audio streams or uploaded audio files used to create a transcript.
• Live transcript snippets: Interim and final transcript text created while you record, used to show live transcription and save the completed note.
• Notes, transcriptions, and generated content: The note text, original transcript text, edited text, auto-generated titles, and AI-generated outputs (Tidy Up, Summary, To-Do, Email, Tweet) stored in your account.
• Usage and diagnostics data: Basic analytics, product interaction data, error logs, crash data, and performance data used to operate, secure, debug, and improve the app.
• Feedback: When you submit in-app feedback, we collect your message and the email address associated with your account.
• Subscription data: Your subscription status and entitlements are managed by RevenueCat on our behalf. We do not store your payment card details — all billing is handled by Apple. Any refund requests for App Store purchases are processed by Apple under its own policies.

• Information you provide directly: account details, feedback messages, manually typed notes, and content you choose to create, edit, or delete.
• Information created through app features: voice recordings, live transcript snippets, saved transcripts, generated outputs, auto-generated titles, and note metadata such as creation date and tags.
• Information collected automatically: usage events, diagnostics, error logs, subscription entitlement status, device or session identifiers needed for authentication, security, and app functionality.
• Information from service providers: authentication information from Apple or Supabase, subscription status from Apple and RevenueCat, and processing results from Deepgram and OpenAI after you allow AI processing.

• To provide and maintain the ToneScribe service, including voice transcription and AI content generation.
• To authenticate your identity and manage your account.
• To save, sync, search, display, edit, and delete your notes, transcripts, and generated outputs.
• To manage your subscription and verify entitlements (Pro or Limited plan).
• To improve the app and fix bugs based on usage patterns, diagnostics, and feedback.
• To communicate with you about your account or important service updates.
• To protect the app from abuse, unauthorized access, fraud, and security incidents.

ToneScribe uses third-party AI services only after you give permission in the app. Before any personal data is sent to a third-party AI provider, the app explains what data will be sent, identifies the providers, and asks you to allow AI processing.

• For transcription: we may send your audio recording, temporary signed audio URL, and related transcript data to Deepgram so it can convert speech to text.
• For AI writing features: we may send note text, original transcript text, selected notes, and requested output type to OpenAI so it can generate auto-titles, tidy text, summaries, to-do lists, emails, and tweets.
• If you do not allow AI processing: ToneScribe will not send your audio, transcript, or note text to Deepgram or OpenAI. AI-based features such as voice transcription, re-transcription, auto-title, and compose will be unavailable or disabled.
• Changing your choice: you can review or change your AI processing permission in the app under Settings > AI & Privacy.

We use the following third-party services to operate ToneScribe:

• Supabase: Authentication, database hosting, and file storage for app data. Data is stored with encryption at rest and in transit.
• Deepgram: Voice-to-text transcription (Nova-3 model). When you allow AI processing, audio recordings or temporary signed audio URLs are sent to Deepgram for transcription. Deepgram is used only to provide transcription and related speech-to-text processing.
• OpenAI: AI content generation for compose outputs, cleaned-up note text, and auto-generated note titles. When you allow AI processing, note text and selected context are sent to OpenAI to generate the requested output. We use GPT-4o-mini for most operations and GPT-4o for select compose types.
• RevenueCat: Subscription management and entitlement verification. RevenueCat processes subscription events from the App Store on our behalf.
• Apple: All in-app purchases and billing are processed by Apple. We never handle or store your payment information directly.
• Vercel: Hosting for our backend API. All traffic is served over HTTPS.

We share personal data with third-party AI providers only as needed to provide the feature you requested. We do not sell your notes, recordings, transcripts, or generated content, and we do not share them with advertisers.

• We do not use your notes, recordings, transcripts, or generated content to train ToneScribe-owned AI models.
• We use API-based AI services and do not knowingly opt your content into third-party model training.
• We send only the data needed for the requested transcription or AI generation task.
• Data sent to third-party AI providers is transmitted over encrypted connections.
• We select service providers whose terms, security practices, and confidentiality obligations are designed to provide the same or equivalent protection for your personal data as described in this Privacy Policy.

Your data is stored securely using Supabase with encryption at rest and in transit. We use Row Level Security (RLS) on all database tables so that each user can only access their own data. Voice recordings are uploaded or temporarily accessed for transcription and are deleted from our long-term storage after processing unless needed briefly to retry a failed transcription.

You have the right to:

• Access and export your notes and generated content at any time from within the app.
• Delete your account and all associated data (notes and generated outputs) through the app settings.
• Delete individual notes and generated outputs from within the app.
• Decline or revoke AI processing permission in Settings > AI & Privacy.
• Request correction of inaccurate personal information.
• Contact us at any time with questions or concerns about your data.

We retain your account data for as long as your account is active. Notes, transcripts, generated outputs, and subscription status are retained so you can access the app's features. If you delete your account, all associated data is permanently deleted within 30 days. Voice recordings are processed for transcription and are not stored long-term.

ToneScribe and its service providers may process and store information in the United States and other countries where our providers operate. By using the app, you understand that your information may be transferred to and processed in these locations, subject to the safeguards described in this Privacy Policy.

ToneScribe is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the updated policy on this page with a revised date. Continued use of the app after changes constitutes acceptance of the updated policy.
